What to include on a freelance invoice
Clear description of the work
Name the project and the deliverable instead of writing "services". Clients forward invoices to accounting, and vague lines slow approval.
Hours or fixed fee
If you bill hourly, show hours and rate per line. For fixed-price projects, list milestones with one amount each.
Payment terms and due date
A specific date ("Due 15 March") works better than "net 30". Add late-fee terms only if they are in your contract.
How to pay you
Put bank details or a payment link on the invoice so the client does not need to ask.
Your tax details
Include your tax or VAT number if you are registered, since many clients need it for their records.
Tips for getting paid on time
- Send the invoice the day you deliver, while the work is fresh in the client's mind.
- Number invoices in a simple sequence (2026-001, 2026-002) so nothing is missed or duplicated.
- Save a PDF copy per client and year for your own bookkeeping.
Invoice requirements such as tax IDs, VAT or sales tax lines and numbering differ by country. Check what your local tax authority requires and include those details on your invoice.
Frequently asked questions
Should a freelance invoice show hourly rates?
Only if you bill by the hour or your client asks for it. For fixed-price work, list the deliverable and a single amount.
Can I add my logo?
Yes. Upload a PNG, JPG or SVG in the editor and it appears on the invoice.
